Departmental Web Content Policy

To maintain accurate, consistent, and high-quality web content across all academic departments, this policy outlines the shared responsibilities between department leadership and the Marketing and Communications team. Departments play a key role in providing updated, accurate content, while Marketing ensures consistency in design, messaging, and presentation across the university website.


Departmental Responsibilities

Departments are responsible for providing the foundational content that represents their programs and personnel. This includes:

  • Gathering and supplying content for department overview pages, research pages, program pages, and faculty/student quotes.
  • Reviewing and updating faculty and staff listings during scheduled check-ins.
  • Providing requested updates to titles, contact information, and biographies for inclusion on the website.
  • Submitting all content updates to the designated departmental point of contact (POC), who will coordinate with the Marketing team.

Marketing Team Responsibilities

The Marketing and Communications team is responsible for ensuring that all departmental web content aligns with institutional standards and branding. This includes:

  • Determining and maintaining consistent page layouts and design standards.
  • Editing and refining supplied content for tone, clarity, and accuracy.
  • Updating and maintaining approved photography and visual assets.

Content Review and Update Schedule

Formal check-ins will be conducted with each department’s designated POC every June and January to review and verify:

  • Program and research content accuracy.
  • Faculty and staff changes for the upcoming semesters.
  • Opportunities for photography or content refreshes.

Faculty and Staff Directory Information

Faculty and staff directory information (name, title, phone number, and email) is supplied by HR via an XML dataset. However, the detailed content on individual directory pages (such as biographies, research interests, or headshots) is updated manually based on information provided by faculty and staff.

During each check-in, departments will be responsible for:

  • Reviewing faculty and staff listings for accuracy.

Web Templates

Our web templates are designed to maintain consistency across the university website while supporting admissions goals and ongoing marketing campaigns. These templates ensure that all pages align with our brand standards, provide a positive user experience, and effectively communicate key messages to prospective students and other audiences.

For internal reference and departmental use, most of these templates can be viewed as part of our template library. Departments are encouraged to use these resources when creating or updating content to ensure alignment with institutional messaging and web best practices.
