Email Signature Generator
The Board of Regents’ Communications and Branding policy establishes requirements for use of consistent standards for the visual and written communications of all BOR institutions, administrative units, and university employees, as well as authorized use by affiliates.
To maintain a consistent institutional identity, South Dakota Mines faculty and staff should use the approved university email signature for communications originating from a South Dakota Mines email account.
Approved signature elements are generally limited to:
- Name
- Job title
- Department, office, center, or approved institutional unit
- South Dakota Mines email address
- Physical or mailing address (when applicable)
- Telephone number(s)
- Links to official South Dakota Mines websites or approved institutional social media accounts
- Primary South Dakota Mines logo
- Institutional motto
- Required legal or professional disclosures (when applicable)
The following items should not be included in official university email signatures unless specifically approved by Marketing & Communications:
- Personal quotes or taglines
- Pronouns
- Tribal affiliations
- Micro-credentials or digital badges
- Memberships in external organizations
- Promotional banners or advertisements
- Unapproved logos or images
- Links to personal or non-university websites
Research Centers & Strategic Partnerships
Approved university research centers, institutes, laboratories, and strategic partnerships may identify their approved program or center within an email signature.
Individuals communicating from a South Dakota Mines email account should use the standard university signature and may include the approved center or program name as part of their organizational affiliation.
Individuals communicating from a partner organization’s email account (such as an industry partner) should use a signature that accurately reflects both affiliations. Because these communications originate outside the university’s email system, they should not replicate the standard South Dakota Mines employee signature.
